How To Plan An Incentive Travel On A Budget

October 13, 2016 | Author: | Posted in incentive travel

Many businesses offer incentive travel as a way to motivate employees to work harder and achieve target goals. With an all-expense paid holiday vacation by the company, who would not be inspired to show off their best performance? As budgets increase, however, should a company still go about planning an incentive travel programme? Is it possible to plan an incentive travel on a budget?

Meeting and incentive travel destinations

Planning for a meeting and incentive travel can sound easy but anyone who’s in-charge of the plan can attest that it is a challenge especially if the budget is limited. However, it doesn’t mean that it is not possible to have the incentive programme without breaking the bank.

Here are tips that will save you the hustle of planning the trip within your budget.

Plan Early

Planning the travel as early as possible is the ultimate key to minimise expenses. While a typical trip planning should occur at least six months in advance, an incentive travel demands extra time to build excitement around the office and allow qualified team members to get a chance to earn the reward. As such, the planning and promotion must begin approximately a year to 18 months in advance, depending on the size of the business and destination. This should give you enough time to formulate the criteria and who are eligible to join.

Search Ideal Destination

The planning process must include researching the seasonal trends for the desired location and compiling a list of things to do. Brainstorm in advance to know the cheaper location for your meeting and incentive travel that may suit your budget. Choose three to four destinations that you think your employees will be interested visiting. Check a variety of travel blogs and travel sites to get a better understanding of the preferred destination. You may also enquire at travel agencies to know if they have ongoing promotions or discount packages.

Part of searching a destination is determining what activities are available. If the desired location is by the beach, conduct a search on different water activities that the attendees can enjoy there. Meanwhile, if the destination is a city proper, identify if there are affordable shopping centres nearby since most of the attendees will surely go shopping before going back.

Decide Mode of Traveling

What will be the mode of transportation in going to the desired location? Will it require travel by airplane or by bus? For instance, if you plan to travel to Malaysia from Singapore, it may not be necessary to take a flight since bus trip or driving private vehicle is feasible. This can be big savings on the budget. Travelling to neighbouring countries may be a lot cheaper than heading to distant places. However, if you prefer to have the incentive travel in Europe, USA or Australia, you can monitor airline companies for cheap flight deals.

Create a Daily Cash Financial Plan

One effective way to determine the possible expenses of your incentive travel is to create a daily cash financial plan. Set an estimated daily budget for food, drinks and activities for the attendees. If you seek the service of a travel agency to plan your incentive travel, they might be able to help you plan out the daily budget. Be sure to include an emergency allowance or an extra budget to cater for unforeseen expenses while on the trip.
